Terms & Conditions
and conditions are to ensure we can offer everyone an enjoyable membership with
Old Hall Country Club & Spa. They
form part of your membership agreement.
Your membership agreement with us is made up of your agreement form and
these terms and conditions. This document forms part of a legal membership
agreement between you and Old Hall Country
Club & Spa, so please make sure you carefully read both this and the membership agreement form. We may change the terms and conditions at any time, but if we do make any changes that may affect you, we will give you reasonable notice of the changes that we plan to make. If you are not happy with these changes you may cancel your membership in line with these terms and conditions. Absolute discretion is retained by the proprietors to reject any application for, or renewal of Membership without necessarily ascribing any reason for so doing.
Entry to the Club is only permitted through Reception. You must swipe in for security and verification on each visit before proceeding into the Club. Should your card be lost or stolen please notify the membership office immediately so that a replacement can be issued for which a small handling charge will be made.
Your membership card only applies to you and may not be loaned or transferred.
It is your responsibility to ensure that your direct debit is correctly administered by your bank to ensure continuity of your membership, which ceases immediately upon cancellation of your direct debit mandate. If changing bank account, it is your responsibility to ensure that a new direct debit mandate is completed and handed to the membership office. If your payments fail for any of the reasons outlined below, the following actions will be taken:-
A} the direct debit details you supplied were incorrect – we will ask you make that payment by cash, debit or credit card and for you to supply the correct details on your next visit to the Club. If we are unable to do this, we will try again, after which we may then cancel your membership.
B} If there are not enough funds in your designated account – we will try again to withdraw the payment by direct debit, but if we are still unable, we will contact you in person to make the payment in cash, debit or credit card. If after the second month you still owe us payment we may then cancel your membership.
C} Should you cancel your direct debit without giving us required one month’s notice, we may contact you for outstanding payment.
One month’s notice of cancellation prior to direct debit payment must be given in writing should you wish to terminate this membership agreement. Notification should be addressed to firstname.lastname@example.org. In the event of a Primary member cancelling their membership, the Additional Member will become the Primary Member and be liable for the Primary subscription rate.
No refunds will be given on paid Annual Memberships. You may suspend on medical grounds when a Doctor’s note is provided. Six months maximum can be added on pro rata as an extension to the renewal date.
You may suspend your membership on medical grounds for a maximum of six months. We require Doctor’s note in order to suspend. A payment of £5 per month is required in order to keep your membership active. A member who has ‘frozen’ their membership will not be able to gain entry into the Club. You will need to inform us by email or in writing if you wish to suspend and tell us when you plan to return. We will automatically reactivate your membership on the return date that you have provided, unless you have cancelled in line with our terms and conditions or return before your previously given return date.
As a Club Member, you should conduct yourself in a quiet and well-mannered fashion when in or about the Club, and not in a manner that will not disturb or impair the use and enjoyment of the Club by any other persons. In particular you should not use foul, loud or abusive language, nor will you molest or harass other Club Members, guests or members of staff. You may not bring, use or be under the influence of illegal drugs in any part of the Club. You may not bring alcohol or be drunk in the Club. We may terminate your membership and may refuse you entry into the Club or eject you from the Club if you commit a serious or repeated breach of these rules or if you engage in any other serious misconduct.
Old Hall Country Club & Spa is entirely non-smoking.
Children under the age of 16 are not permitted inside the Club at any time. They are welcome on Club premises for Tennis Clubs during the school holidays and will be fully supervised at that time.
It is your responsibility to notify management of any change of address or email address so that in the event of an emergency our records are fully up to date.
You should make your own arrangements in respect of personal insurance to cover injuries caused to you by a third party, as no liability is accepted by the proprietors in the event of accident, injury or misadventure. The proprietors’ liability for damage or loss of a member’s property is strictly limited to any damage or loss suffered as a direct result of the negligence of the proprietors or their staff.
Cars must be parked correctly in the car park and within the designated areas. Care must be taken when entering or leaving the club premises and speed restricted on the approach lane. The proprietors accept no liability for any damage or theft, including contents, for any vehicle on the car park or left overnight after closing time.
You are welcome to bring guests to The Lounge at any time. However use of the Gym, Tennis courts, Pools and Locker Rooms is only permitted with a valid Guest Pass which may be purchased at Reception. Any guest must be accompanied by you as a current member. The management reserves the right to refuse admission without explanation.
You must complete a Medical Pre-activity Questionnaire before using the gym, classes or pools.
You understand that you exercise at your own risk if the Medical Pre-activity Questionnaire is not completed.
If any questions answered in the Medical Pre-activity Questionnaire require further medical explanation, you will be required to undertake a mandatory height, weight, blood pressure check to comply with any health and safety regulations before using any of the facilities. The staff reserve the right to refer you back to your Doctor before commencing any form of exercise at the Club. It is your responsibility to inform the Gym staff of any injures or changes to your medical condition which may impact on an exercise programme.
All our equipment is designed and tested to be completely safe with correct use.
Appropriate clothing and shoes should be worn when in the Gym or on The Tennis Courts where white is preferred.
Any single piece of gym equipment should not be used for more than 15 mins at busy times and all equipment must be wiped down after use.
You may not bring any personal trainer into the Club who is not already registered with the Club.
All Studio Classes may be booked online up to 6 days in advance on the hour the class starts. Reserve lists are available for the all classes and a member will be automatically transferred from the waiting list to the class list should a place become available. The member will be informed by email if they have been put on the class.
If you are unable to make a class, please cancel it on line allowing someone else to take up the place.
Class timetables are subject to change from time to time and the Club will adjust the on line schedule to reflect changes. Sometimes Instructors are unable to fulfill their class and the Club will make that information available as soon it is informed.
It is requested not to open the Studio doors while a class in progress so as not to interfere with the air conditioning system.
Please arrive in good time so as not to disturb the class. Entrance is often barred to anyone arriving more than 5 minutes late.
An instructor may at any time, ask a member to leave a class if they consider that member is jeopardising the safety or enjoyment of others.
You must use the main entrance to the Club when entering or leaving.
Fire Exits are clearly marked and are there in the interests of safety and not for general use.
Assembly points in case of Fire are in the Courtyard or by the Tennis Courts in the Car Park.
Please read the Health and Safety notices posted by any equipment or facility and comply with their recommendations.
Please observe the specific signs and guidelines relating to the use of Sauna and Steam facilities.
Dogs when kept on a lead, are welcome in the courtyard and car park, but should not be left unattended at any time.
Complaints should be communicated privately to Club Management, or the Proprietors, or by email, or in writing, or through the suggestion/feedback forms available at Reception.
The Club reserves the right to change the operating hours but will always inform members beforehand.
The Club reserves the right to temporarily close certain facilities for cleaning, decorating, essential repairs or maintenance of equipment or special events.
If the Club is not able to provide all the services and facilities for 60 days in a row or longer for ‘reasons or events outside or our reasonable control’ either you or the Club will be entitled to cancel your membership immediately after giving notice in writing. By law, it is not required to pay compensation in these circumstances and during this period. Reasons or events outside our control could for example include: natural disasters, a government’s actions, war or national emergency, acts of terrorism, protests, riot, fire, explosion, flood an epidemic, lock-outs, strikes or other labour disputes (whether or not they relate to our workforce), restraints or delays affecting carriers or not being able to get supplies of suitable materials or not at all.
